Responsibilities

  1. Welcome visitors warmly by greeting them, whether in person or on the telephone.
  2. Answer, screen, and forward all incoming phone calls, providing necessary information as required.
  3. Receive, sort, and distribute daily mail, deliveries, and couriers efficiently.
  4. Maintain client appointments and ensure appointment confirmations are made before scheduled treatment days.
  5. Keep an updated register of appointments.
  6. Manage appointment calendars and coordinate meetings/appointments.
  7. Perform various receptionist duties including filing, photocopying and collating.
  8. Maintain cleanliness and tidiness in the reception area.
  9. Assist the Therapist team in managing customer flow during busy periods.
  10. Act as coordinator between customers and management teams, as well as among branch offices.
  11. Address customer complaints promptly, provide guidance, and offer relevant information on procedures or policies.
  12. Ensure customer satisfaction by handling inquiries and concerns pleasantly and efficiently.
  13. Contribute to the enhancement of service and product quality.
  14. Gather feedback from customers regarding products and services.
  15. Coordinate with all branches, departments, and external parties as necessary.
  16. Organize and coordinate operations to maximize productivity.
  17. Maintain relationships with partners, vendors, and suppliers.
  18. Generate bills and receipts accurately and update the client register accordingly.
  19. Maintain the daybook.
  20. Fill up and check client OPD cards daily, updating them as needed
  21. Manage stock inventory.
  22. Maintain accurate entries in accounting software.

Experience

1 - 2 Years in front desk (health sector preferred)

Education

Bachelors preferred
