Job Title: Administrative Assistant

Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to provide administrative support and ensure smooth office operations. This position involves a variety of tasks such as managing schedules, coordinating meetings, handling communication, and assisting with office management.

Required Qualifications:

  • Proven experience as an Administrative Assistant or in another relevant administrative support role.
  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail and problem-solving skills.
  • Professional demeanor and ability to work well with a variety of stakeholders.

Working Conditions:

  • Full-time, Monday through Friday, 9:30AM to 5:30PM.
  • Office-based environment.
  • Occasional overtime may be required.

 

Responsibilities

Key Responsibilities:

  • Calendar Management: Schedule appointments, meetings, and travel arrangements for executives or teams.
  • Communication: Handle phone calls, emails, and other communications on behalf of team members or executives. Ensure messages are relayed promptly.
  • Document Management: Prepare, edit, and proofread documents, presentations, and reports. Maintain an organized filing system (physical and electronic).
  • Meeting Coordination: Schedule and coordinate meetings, including arranging venues, setting up equipment, preparing agendas, and taking minutes.
  • Office Management: Order office supplies, maintain office equipment, and manage inventory. Ensure the office environment remains clean, organized, and fully functional.
  • Client and Visitor Relations: Greet clients, guests, and visitors, offering a professional and friendly experience. Handle inquiries and assist with general office-related matters.
  • Data Entry & Reporting: Input and maintain data into systems, databases, or spreadsheets. Assist in generating reports as needed.
  • Support to Teams: Provide general administrative support to various departments and staff members as needed.
  • Project Assistance: Assist with coordinating and tracking the progress of various office or team projects.

Experience

  • Experience with office management software or project management tools.
  • Basic understanding of bookkeeping or financial management.

Education

High school diploma or equivalent; Associate's or Bachelor’s degree preferred.
